This page is used to describe and outline the terms and conditions of the booking of services with Trini Riddim Cultural Tours in Trinidad and Tobago. It should be viewed along with our Privacy policy, Cookies Policy and our travel Information guidelines, in order to be be really keep you informed about what is required in order to process your travel aggangements adequately.

These Booking Conditions, together with our Privacy Policy, website, and any other written information we bring to your attention; form the basis of your contract with Trini Riddim Cultural Tours (collectively referred to as Trini Riddim Media, Trini Riddim “we”, “us” or “our” in these Booking Conditions notice), Registered Office: Building 3, 43-45A Pelican Extension, Port of Spain 230914 Trinidad, Company No: B2019090302509. Please read them carefully as they set out our respective rights and obligations. 

In these Booking Conditions, references to “you” and “your” includes the first named person on the booking and all persons on whose behalf a booking is made or any other person to whom a booking is added or transferred. By making a booking, you, the first named person on the booking (“Lead Name”), agree on behalf of yourself and all persons detailed on the booking that:

  • You have read these Booking Conditions and have the authority to and do agree to be bound by them;
  • You consent to our use of personal data in accordance with our Privacy Policy and are authorized on behalf of all persons named on the booking to disclose their personal details to us, including where applicable, special categories of data (such as information on health conditions or disabilities and dietary requirements);
  • You are over 18 years of age and where placing an order for services with age restrictions declare that you and all members of the party are of the appropriate age to purchase those services;
  • You accept financial responsibility for payment of the booking on behalf of all persons detailed on the booking; and
  • You have read and reviewed in full the Trip Notes, Itinerary and Invoice/s prior to securing a reservation with payment and are satisfied that the information contained therein;
    • Is suitable for all members of the traveling party with regards to fitness and any medical needs. (Please refer to our Tour Suitability Form); and
    • includes the required services (i.e. the correct hotel and preferred hotel rating, sites to be visited and transportation etc.) for all members of the booking party.

 Our booking services are intended solely for persons who are aged 18 years or older. Booking of our services by anyone under 18 years is expressly prohibited. By accessing or using our services you guarantee that you are 18 years or older.

No unaccompanied minors (i.e. those under 18 years of age) can be accepted on tours operated by us. Children under 18 years of age may travel on select tours provided that they are accompanied by a parent or a guardian who accepts full responsibility for them and are subject to, in all cases, our ultimate discretion.

b. PRIVACY

Trini Riddim Privacy Policy applies to all areas of the company and includes but is not limited to the website, social media sites, other online communication and in person communications. Please review our Privacy Policy for information and notices concerning our collection and use of your personal information.

c. DISCLAIMER

Under no circumstances (including but not limited to negligence), shall we, our providers or distributors, be liable for any damages to, or viruses that may infect your computer equipment or other property, or any loss of data, on account of your access to, use of, or browsing on our site, or your downloading of any materials, data, text, images, video, audio, or other information from the site or associated with any e-mail or links sent to you by Trini Riddims Cultural Tours.

Trini Riddims Cultural Tours has no liability and will make no refund in the event of any delay, cancellation, overbooking, strike, force majeure or other cause beyond our direct control, and we have no responsibility for any additional expenses that you may incur due to those events.

d. INDEMNIFICATION

Subject to these Terms, you will defend, indemnify and hold us and each of our officers, directors, employees and agents harmless from and against any claim, cause of action, liability, expense, loss or demand, including—without limitation—reasonable legal and accounting fees, arising out of, or in any way connected with your breach of these Terms or the agreements made part of these Terms by reference, your breach of any applicable law, and your use of or access to Our Website, Trips, or Intellectual Property.

a. BOOKING PROCEDURE

The first step in booking services with Trini Riddims Cultural Tours is to directly make an inquiry using one of the following means of communication: the contact form on triniriddims.com, by phone, by email or by a direct message through one of our social media sites. You should provide us with as many details as possible to help our booking agents assist you with your travel needs. Please see below for contact information.

A member of our planning team will communicate with you directly about your travel plan wants and needs, availability and will design an individual plan with you.

You will receive an official confirmation email from us outlining the details of the discussed services in a service agreement. Please check your spam folder if you do not find the reservation details in a timely manner.

To confirm your reservation, a deposit (20% of total due) for your reservation will be required to secure your booking and to confirm your reservation. Once we have received your deposit, or otherwise agreed upon terms, we will send you an official itinerary/agreement along with a deposit receipt. 

Note: If you do not confirm or do not receive your confirmation of reservation communication, we cannot guarantee your reservation.

A booking is secured with us when you pay a non-refundable deposit of 20% of your total travel reservation (or full payment if you are booking within 45 days of departure or otherwise indicated in writing to you prior to payment) and we issue you a booking confirmation. You will be notified of the exact deposit amount required prior to any payment to us. A binding contract will come into existence between you and us as soon as we have received payment and have issued you (in writing) a booking confirmation.   

Exceptions: You will be required to pay a 30% deposit for: 

  • groups larger than 4 adults
  • Tailor-made arrangements. On some occasions a higher deposit is required, and we will notify you of this at the time of booking.

Note: We reserve the right to return your deposit and decline to issue a booking confirmation at our absolute discretion.

c. REMAINING BALANCE DUE

The remaining balance of your arrangements (including any applicable surcharges) is due not less than 45 days prior to scheduled departure (unless otherwise specified prior to payment). If we do not receive this balance in full and on time, we reserve the right to treat your booking as cancelled by you in which case the cancellation charges set out below will become payable.

d.  CANCELLATIONS

You may cancel a booking at any time provided that the cancellation is communicated to us in writing. Your notice of cancellation will only take effect when it is received in writing by us and will be effective from the date on which we receive it.

Should one or more members of your party cancel, it may increase the per person holiday price of those still travelling and you will be liable to pay this increase.

Since we incur costs in cancelling your arrangements, cancellation charges will be applied as shown below calculated from the day when written notice is received by us. The more notice that we receive, the less we will charge you. Cancellation charges apply as follows:

Important Note: Certain arrangements may not be amended after they have been confirmed and any alteration or cancellation could incur a cancellation charge of up to 100% of that part of the arrangements in addition to the charge above. If the reason for your cancellation is covered under the terms of your personal insurance policy, you may be able to reclaim these charges. Where possible, we will deduct the cancellation charge(s) from any monies you have already paid to us.

You have the right to cancel your confirmed booking before departure without paying  cancellation fees in the event of “unavoidable and extraordinary circumstances” occurs the week of your booking to your planned trip to Trinidad and Tobago or its immediate vicinity and significantly affects the performance of the holiday or the transport arrangements to the destination.

United States Travel Advisory for Trinidad and Tobago

 advises against travel to Trinidad and Tobago or its immediate vicinity within 7 days of your scheduled booking or during your scheduled booking.

For the purposes of this clause, see the clause D3. Force Majeure for examples of “unavoidable and extraordinary circumstances”.

We aim to operate all tours as advertised. However, as we plan the tours many months in advance, we may occasionally have to make changes or cancel part or all of your booking and we reserve the right to do so at any time.

We will not cancel your booking less than 30 days before your departure date, except for reasons of force majeure, low numbers or failure by you to pay the deposit. We may cancel your booking before this date if, e.g., the minimum number of clients required for a particular travel arrangement is not reached. If we have to make a significant change or cancel, we will tell you as soon as possible and if there is time to do so before departure, we will offer you the choice of:

  • (for significant changes) accepting the changed arrangements; or
  • having a refund of all monies paid; or
  • accepting an offer of alternative travel arrangements of a comparable or higher standard from us, if available (at no extra cost); or
  • if available, accepting an offer of alternative arrangements of a lower standard, with a refund of the price difference between the original arrangements and the alternative arrangements.

You must notify us of your choice within 2 days of our offer. If we do not hear from you within 2 days, we will contact you again to request notification of your choice. If you fail to respond again, we will assume that you have chosen to accept the change or alternative booking arrangements.

Except where otherwise expressly stated in these Booking Conditions we will not be liable, refund or pay you compensation if our contractual obligations to you are affected by “Force Majeure”. For the purposes of these Booking Conditions, Force Majeure means any event beyond our or our supplier’s control, the consequences of which could not have been avoided even if all reasonable measures had been taken. 

Examples include warfare and acts of terrorism (and threat thereof), civil strife, significant risks to human health such as the outbreak of serious disease at the travel destination or natural disasters such as floods, earthquakes or weather conditions which make it impossible to travel safely to the travel destination or remain at the travel destination, the act of any government or other national or local authority including port or river authorities, industrial dispute, labour strikes, lock closure, natural or nuclear disaster, fire, chemical or biological disaster, unavoidable technical problems with transport and all similar events outside our or the supplier(s) concerned control.

e. BOOKING AMENDMENTS

Except for some cases, your booking cannot be changed within twenty-one (21) days of the start of your booking arrangements without additional costs. 

Requests for modifications and amendments to your booking must be made to a Trini Riddims planning agent who will process the request. Any changes are not official until you receive a confirmation and an updated official itinerary/agreement.

We do not charge an additional fee to amend or change the dates of an existing booking, as long as the request is received by a planning agent more than twenty-one (21) days ahead of your confirmed travel date. However, in some cases, cancellation fees may be required. For example:

  • It is not possible to change or modify a special event, theatre or show ticket. Sales of these tickets are final and cannot be amended once your original purchase is confirmed.
  • The majority of accommodation with less than ten rooms require full payment to secure a room. Any hotel or guesthouse cancellation within 30 days of your confirmed booking date may require additional costs. If you want an amendment, please contact us and confirm your request in writing. We will do our best to arrange the desired change but we can’t guarantee any amendments and extra costs may incur for any changes.

All date-change requests and amendments are subject to availability by our suppliers and/or service providers; we cannot guarantee the success of any date-change request.

Occasionally our suppliers and/or service providers make changes to tour dates, prices, inclusions, coverage, age requirements, and other service features. As a result, we reserve the right to cancel, change or substitute any service, tour, ticket or product that you have booked with us, at any time, for any reason.

If we make an insignificant change to your booking, we will make reasonable efforts to inform you or your travel agent as soon as reasonably possible if there is time before your departure, but we will have no liability to you. Examples of insignificant changes include alteration of your change of accommodation to another of the same or higher standard.

Occasionally we may have to make a significant change to your confirmed arrangements. Examples of “significant changes” include the following, when made before departure:

  • A change of accommodation for the whole or a significant part of your booking;
  • A change of accommodation to that of a lower standard or classification for the whole or a significant part of your booking;
  • A significant change to your tour itinerary, removing or moving one or more destinations entirely.

In such cases, if you are dissatisfied with the alternative arrangements offered (where we are able to offer alternative arrangements), you will be entitled to a full refund of the original purchase price.

Very rarely, we may be forced by “force majeure” to change or terminate all or some of your arrangements after departure. If this situation does occur, we will not be liable, refund or pay you compensation.

If we make an insignificant change to your booking, we will make reasonable efforts to inform you or your travel agent as soon as reasonably possible if there is time before your departure, but we will have no liability to you. Examples of insignificant changes include alteration of your change of accommodation to another of the same or higher standard.

f. PRICING

We reserve the right to amend the price of unsold tours at any time and correct errors in the prices of confirmed bookings. We also reserve the right to increase the price of confirmed bookings solely to allow for increases which are a direct consequence of changes in:

  • the price of the transport of passengers resulting from the cost of fuel or other power sources;
  • the level of taxes or fees chargeable for services applicable to the booking imposed by third parties not directly involved in the performance of the booking, including taxes, or fees; and
  • the exchange rates relevant to the package.

We will absorb and you will not be charged for any increase equivalent to 2% of the price of your booking, which excludes additional services or travel arrangements. You will be charged for the amount over and above that.

Prices do not include tips/gratuities to drivers or local guides, personal insurance, any items of a personal nature, taxes or duties, and any beverages or meals not specifically listed under the listed on your itinerary

Optional activities or ‘add-ons’ are offered as noted on the package plans (for example: first peoples guided tours of sightseeing locations, cooking classes, handicraft etc.) and are subject to the same terms and conditions as outlined in these Terms and Conditions. Additional add-ons may be confirmed by contacting a Trini Riddims planning agent. You may choose to add optional activities at the time of booking or anytime during your tour. 

To secure your desired activities prior to your tour, your booking agent will include the add-on(s) in your itinerary and booking plan. All payment terms and conditions will be applicable to these activities at that time. 

If you want to secure your desired activities while on a booking, you must contact a Trini Riddims Cultural Tours planning agent 1(868) 686 8200 or [email protected])  or your driver (if applicable). We will do our best to accommodate your changes and will not charge a fee. Any additional costs will be due at the time of the booking unless otherwise agreed upon.

All reservation inclusions will be outlined in your itinerary/invoice and will be subject to these terms and conditions. 

Any bookings, purchases, entertainment, food, drinks, shopping, etc not outlined in your itinerary or invoice are your responsibility. All other financial responsibilities will be yours and will be excluded from these terms and conditions.

All payments will be arranged through a Trini Riddims planning agent. Details on payment options will be set up directly with you at the time of your booking.

g. PARTY RESPONSIBILITIES

If you or any member of your party misses your flight or other transport arrangement, it is cancelled or you are subject to a delay of over 3 hours for any reason, you must contact us immediately.

We cannot accept liability for any delay, missed transport arrangements, or other travel formalities. We will do our best to accommodate necessary amendments if you contact us immediately of your delay. It may be necessary to amend or cancel your booking and additional charges may incur. Refer to E1 Booking Amendments by You or D1 Cancellations by You of these Booking Terms and Conditions.

Anyone suffering from illness or disability or undergoing treatment for any physical or medical condition which may affect their participation a booking must declare the true nature of such condition and provide us with full details before you confirm your booking so that we can try to advise you as to the suitability of your chosen booking. We may require you to produce a doctor’s certificate certifying that you are fit to participate, in addition to completing the Tour Suitability Form

Anyone suffering from illness or disability or undergoing treatment for any physical or medical condition which may affect their participation a booking must declare the true nature of such condition and provide us with full details before you confirm your booking so that we can try to advise you as to the suitability of your chosen booking. We may require you to produce a doctor’s certificate certifying that you are fit to participate, in addition to completing the Tour Suitability Form

Where we accept your booking, you must make arrangements for the provision of any medication or other treatment required during your stay in Trinidad and Tobago.

If your chosen booking is a water-centered excursion or includes a transfer by boat of any sort you must make it known at the time of booking if you or any member of your party is unable to swim. This will not prevent that person from participating in the tour but will enable us to take additional precautions for that person’s safety at such times as may be appropriate. 

We will not and do not provide medical advice. It is your responsibility to assess the risks and requirements of each aspect of the itinerary based on your own unique circumstances, limitations, fitness level and medical requirements.

We want to ensure that you or anyone in your booking party enjoys your booking to the fullest, so to help our planning agents, clients who fall into the following criteria are required to complete our Tour Suitability Form

  • Any persons with pre-existing medical conditions. Any person who requires regular care by a doctor or any person with medical or other circumstances we should be aware of. If you feel you need to provide us with additional details, please attach additional pages.
  • All persons aged 70 or over by the booking start date. Once we have received your completed form, we may request further information or a signed letter from your doctor confirming you are able to undertake your chosen booking.
  • All persons traveling to remote areas in Trinidad and or Tobago aged 65 or over by the booking start date. Once we have received your completed form, we may request further information or a signed letter from your doctor confirming you are able to undertake your chosen tour.

You agree to accept the authority and decisions of our employees, drivers, guides and agents while traveling with Trini Riddims Cultural Tours. If in the opinion of such person, the health or conduct of a client before, during, or after a departure appears likely to endanger the safe progress of a booking, the client may be excluded from all or part of the booking, in which case all monies paid will be forfeited and we will not be liable to pay any compensation whatsoever to that client.

All our customers are expected to conduct themselves in an acceptable and respectful manner and not to disrupt others in your party, local residents, drivers, tour guides, or staff of Trini Riddim Cultural Tours. 

If in our opinion or in the opinion of any of our partnering businesses operators or any other person in authority, your behaviour or that of any member of your party is causing or is likely to cause trouble, danger or annoyance to anyone within or outside your party, or damage to any property, we reserve the right to terminate your booking with us immediately. 

In the event of such termination:

  • Our liability to you and/or your party will cease and you and/or your party will be required to leave your accommodation or other arrangements immediately;
  • We will have no further obligations to you and/or your party;
  • No refunds for lost accommodation or any other arrangements will be made, and we will not pay any expenses or costs incurred as a result of termination;
  • You and/or your party may also be required to pay for loss and/or damage caused by your actions and we will hold you and each member of your party jointly and individually liable for any damage or losses caused by you or any member of your party. 
  • Full payment for any such damage or losses must be paid directly to the hotel manager or other supplier prior to departure. 
  • If you fail to make payment, you will be responsible for meeting any claims (including legal costs) subsequently made against us as a result of your actions together with all costs we incur in pursuing any claim against you.

Note: We cannot be held responsible for the actions or behaviour of other guests or individuals who have no connection with your booking arrangements or with us.

It is your responsibility to check and fulfil the passport, visa, health and immigration requirements applicable to your itinerary. We can only provide general information about this. You must check requirements for your own specific circumstances with the relevant Embassies and/or Consulates as applicable. Requirements do change, please ensure your information is up to date.

Trinidad and Tobago requires passports to be valid for at least 6 months or the duration of stay at the time of entry. If your passport is in its final year, you should plan accordingly. 

Visas are not required for stays under 90 days

Up to date travel advice can be obtained from the nearest Embassy of the Republic of Trinidad and Tobago or your own country’s department of foreign policy and international relations.

You will be solely responsible for any cost, loss or damage which you incur as a result of a failure to obtain all necessary passports, visas and/or vaccinations. We do not accept any responsibility if you cannot travel or incur any other loss because you have not complied with any passport, visa, immigration requirements or health formalities (including vaccinations). 

If you should be denied entry into Trinidad and Tobago and are not able to complete your tour, you will be responsible for the cancellation charges set out in D1 Cancellations by You of these Booking

Trinidad and Tobago law requires that all front seat passengers use seatbelts and remain seated at all times while the vehicle is moving. However, local transportation providers may or may not have seatbelts in vehicles. As such, you acknowledge that seatbelts may not be available in local taxis or transportation not provided by us and therefore travel at your own risk.

Trini Riddim Cultural Tours will do everything possible to ensure your safety and satisfaction during your visit to Trinidad and Tobago. However, we are not liable for any personal injury or loss that may incur while you are in Trinidad and Tobago. We highly recommend that you purchase travel insurance. Our customers are required to provide for themselves all necessary insurance against personal injury, loss, damage, theft, cancellation, delay etc. 

Travel insurers may not cover specific activities within their standard insurance policies. It is your responsibility to check your insurer policy inclusions and you accept full responsibility for obtaining full comprehensive travel insurance for all activities as outlined in your itinerary/invoice.

h. OUR RESPONSIBILITIES

Trini Riddim Cultural Tours accepts responsibility for ensuring the services you booked with us are delivered as outlined in your itinerary. 

Subject to the remainder of this clause, we have a duty to select the suppliers of the services making up your booking with us with reasonable skill and care. We have no liability to you for the actual provision of the services, except in cases where it is proved that we have breached that duty and damage to you has been caused. Therefore, providing we have selected the suppliers/subcontractors with reasonable skill and care, we will have no liability to you for anything that happens during the service in question or any acts or omissions of the supplier, its employees or agents.

We will not be responsible or pay you compensation for any injury, illness, death, loss, damage, expense, cost or other claim of any description if it results from:

  • the act(s) and/or omission(s) of the person(s) affected; or
  • the act(s) and/or omission(s) of a third party unconnected with the provision of the services contracted for and which were unforeseeable or unavoidable; or
  • unusual or unforeseeable circumstances beyond ours or our supplier(s) control, the consequences of which could not have been avoided even if all due care had been exercised; or
  • an event which either we or suppliers could not, even with all due care, have foreseen or forestalled; or
  • loss of  and/or damage to any luggage or personal possessions and money.

It is a condition of our acceptance of liability under this clause that you notify any claim to ourselves and our supplier(s) strictly in accordance with the complaints procedure set out in these conditions.

Where any payment is made, the person(s) receiving it (and their parent or guardian if under 18 years) must also assign to ourselves or our insurers any rights they may have to pursue any third party and must provide ourselves and our insurers with all assistance we may reasonably require.

Please note, we cannot accept any liability for any damage, loss or expense or other sum(s) of any description: 

  • which on the basis of the information given to us by you concerning your booking prior to our accepting it, 
  • we could not have foreseen you would suffer or incur if we breached our contract with you; or 
  • relate to any business.

We will not accept responsibility for services or facilities which do not form part of our agreement. For example, any excursion you book independently, or any independent service or facility which any other supplier agrees to provide for you.

i. RISKS

You acknowledge that some travel destinations and activities offered by Trini Riddims Cultural Tours may involve a significant amount of risk to your health and safety. 

By traveling with Trini Riddim Cultural Tours, you acknowledge that you have considered any potential risks to health and safety. You hereby assume responsibility for all such risks and release Trini Riddim Cultural Tours from all claims and causes of action arising from any losses, damages or injuries or death resulting from risks inherent in travel, including remote areas travel specifically, visiting destinations with limited health services, and participating in adventurous activities such as hiking, workshops, community tours and remote camping tours offered by Trini Riddims Cultural Tours.

You accept that your booking may include travel to remote areas, where events are less predictable than is usually the case in, for example, Gasparee Caves and Little Tobago. Many rural areas do not have the same quality of emergency health and safety services that some participants are used to in their home countries. Road conditions can be uncomfortable and unreliable, and other cultural differences may not be comparable to the standards of the developed world. 

You accept that a variety of factors, including weather, transport difficulties and political instability, might require changes in any itinerary. Your driver and management have the right to make any changes that are necessary. Only rarely will such changes be significant, and every reasonable effort will be made to minimize the effects of the enforced changes. No liability will be accepted for the results of changes or delays, irrespective of how they are caused.

j. LAWS AND REGULATIONS

All participants in tours operated by us are expected to obey the laws and regulations of the Republic of Trinidad and Tobago and any failure to do so may relieve us of all obligations that we may otherwise have to you.

These Booking Terms and Conditions and any agreement to which they apply are governed in all respects by laws and regulations of the Republic of Trinidad and Tobago. We both agree that any dispute, claim or other matter which arises between us out of or in connection with your contract or booking will be dealt with by the Courts of the Republic of Trinidad and Tobago only.

The company name Trini Riddim Media, (aka Trini Riddim Cultural Tours), and its logo are subject to copyright and intellectual property rights and are owned by Trini Riddim Cultural Tours.

The Trini Riddim Media website, including the content, design, organization, and layout are subject to copyright and intellectual property rights that are owned by Trini Riddim Media.

The re-use of illustrations, photographs, or videos featured on the Trini Riddim website or print materials, without permission is prohibited under all circumstances.
